How to get clients to pay on time (and chase the late ones without it ruling your week)

Chasing money is the part of the job nobody warns you about, and it's the part everyone hates. You've done a lovely clean, the house looks great, and now you're sat at home in the evening sending a third polite text about an invoice that was due two weeks ago.

You're not imagining how much time it eats. Businesses hit by late payment spend an average of 86 hours a year chasing it, according to the Small Business Commissioner. For a cleaner that's more than a full working week, unpaid, spent doing the one bit of the job you'd happily never do again.

Here's what most advice misses, though. You don't fix this by getting tougher. Late payment is almost never someone trying to cheat you. Most of the time they forgot, or they didn't have your bank details to hand, or they were waiting until they next saw you. It's friction and forgetting, and a good system quietly takes both out of the way.

Here's the system. It's five things, and most of them you set up once.

Agree how you get paid before the first clean

The time to sort payment is before you've done any work, not after the first one goes late. When you take on a new client, tell them plainly when you want paying and how. A quick "I send the bill on the day and I ask for it within the week" is all it takes, and nobody minds being told.

Be a bit firmer with brand-new clients until they've proven reliable. A lot of cleaners ask new ones to pay on the day, or within a week, and only stretch to longer once someone's a few months in and always pays. That's just good business, and people respect it.

Make paying take ten seconds

This is the big one. The number one reason people pay late is that paying is a faff. They have to find your bank details, or wait for cash, or remember to do a transfer when they're stood in the kitchen thinking about something else.

Give every client one clear, easy way to pay that needs no conversation. For your regulars, a Direct Debit is the dream: it just collects, and there's nothing to chase ever again. For everyone else, a card link or at least a saved payment reference so they're never texting you "what's the account number again?". The easier you make it, the less you chase.

Know who owes you without scanning your bank

You can't chase what you've lost track of. Once you're past 20-odd regulars, you will not hold "who's behind" in your head, and the ones who slip are exactly the ones you forget to follow up.

You need one place that shows you, at a glance, who's paid and who hasn't, without scrolling through bank statements on a Sunday night. That single view is what turns "I think the Hendersons might still owe me?" into a thirty-second check.

Chase early, the same way every time, and keep it warm

When something does go late, a friendly nudge a day or two after the due date gets most of it back on its own, because the person genuinely just forgot. You don't need to be heavy. A short, warm reminder does the job.

Two useful facts. Sending both a text and an email makes you about 56% more likely to be paid within the week, so don't rely on one channel. And the real trick is to chase the same way every single time, so it's automatic and you're never sat there at 9pm deciding whether it's rude to bother someone. It isn't. You did the work.

Know when a nudge becomes a conversation

If something's still unpaid after a few weeks of polite reminders, stop nudging and talk to them properly. Set a firm date, and don't book the next clean in until the last one's settled. A debt that's months old needs a proper conversation. A sixth automated text won't shift it.

Run it however suits you

None of this needs software. On pen and paper it still works: agree your terms up front, make paying take ten seconds, keep one clear list of who owes you, nudge early and warmly, and know when a nudge has to become a proper conversation. The tool you use to run it matters far less than running it at all.

Do that, and getting paid stops being a weekly dread. The money lands while you get on with the work, and you get your evenings back.
